Documentation is the part of field service work nobody trained for and everybody resents. It is also the part that determines whether you get paid, whether the next tech can pick up the job, and whether the record holds up when someone asks about it a year later.
This is what changes when AI handles the writing and the technician handles the facts — shown on one real service call rather than described in the abstract.
The old way
The typical sequence: do the work, scribble a few words on a phone or a paper note, drive to the next call, and write the actual report at the end of the day from memory. Details degrade with every hour between the work and the writing.
What usually ends up in the record:
"Checked unit. Found fault. Repaired and tested. Returned to service."
What is wrong with that note
It is not laziness — it is a tired person writing at 6pm about something they did at 10am. But as a record it fails on every count.
- No failure mode, so the next tech starts from zero
- No part number, so the parts history is worthless
- No measured values, so nothing is verifiable
- No labor detail, so billing has to guess
- No basis for a future repair-vs-replace decision on that asset
The AI-assisted way
The tech does the work, then talks for about forty seconds at the device while it is fresh. Model and serial come from a scanned label rather than from memory.
Spoken, at the device:
"NIBP failing on the bedside monitor in ICU 7. Ran the pneumatic leak test, held pressure fine. Verified against the analyzer, reading 12 millimetres low across the range. Recalibrated per OEM procedure, re-verified at three points, all within two millimetres. Cuff hose had minor cracking so I replaced it. Returned to service, next PM stays on schedule."
What comes out
The AI does not add anything. It sorts what was said into the fields a proper report needs, writes it in full sentences, and leaves everything for the tech to check.
Two minutes at the device instead of twenty at the end of the day — and a better record, because it was written while the work was still in front of you.

The habits that make it work
The tool only performs as well as what it is given. Four habits separate techs who get clean reports from techs who get vague ones.
- Dictate at the device, not in the van. Every hour of delay costs detail.
- Say the numbers. "Reading low" is a sentence; "12 mmHg low across the range" is a record.
- Scan identifiers, never dictate them. Serial and part numbers are where voice input fails.
- Read the output before you sign. You are accountable for what is in the report, not the tool.
What it will not do for you
If you say nothing about what you measured, no tool can invent it — and any tool that does is one you should stop using immediately. AI removes the writing, not the observing. The technician still has to notice the cracked hose and still has to record the number off the analyzer.
The value is straightforward: the skilled part of your job stays yours, and the typing goes away.
