AI-drafted service documentation is now common enough that the compliance question is unavoidable: if the report is wrong, who is responsible? The answer is short and has not changed. The person who signed it.
That answer is not a reason to avoid the tools. It is a reason to build a review step that actually catches errors, and to choose tools that make errors findable rather than invisible.
Liability sits with the signature
A service report is a professional attestation. When a technician signs, they are stating that the described work was performed and the described findings were observed. Software that helped write the sentences does not carry any part of that.
This mirrors how the trades already handle every other tool. A miscalibrated analyzer that produced a false pass does not excuse the tech who recorded the pass. Neither does a drafting tool.
Practical rule: never sign a sentence you would not have written yourself.
The single non-negotiable tool requirement
There is one property that separates an acceptable AI documentation tool from an unacceptable one: it must never generate substantive content the technician did not supply.
Formatting, sentence structure, ordering, and terminology cleanup are fine. Inventing a measured value, a date, a part number, a test result, or an outcome is not. A tool that fills gaps to make a report look complete is actively dangerous, because the resulting report reads perfectly while being false.
- Ask vendors directly whether the model ever produces values the tech did not provide
- Test it: run a deliberately incomplete note and see whether the output invents the missing pieces or leaves them blank
- A tool that leaves gaps visible is the safer tool, even though it looks worse in a demo
What to verify before signing
A useful review takes under a minute if you know what you are checking. Speed-read the prose; verify these specifically.
- Device identity — manufacturer, model, serial, and location match the asset you actually worked on
- Every number — measured values, tolerances, pressures, runtimes, energy readings; each must match what you recorded
- Part numbers and quantities
- Dates — service date and any next-due date
- Outcome statement — "returned to service" versus "requires follow-up" is the highest-consequence line in the report
- Anything you did not do — scan for actions or tests listed that you did not actually perform
Building the review step into the workflow
Review that depends on discipline alone erodes within a month. Build it into the process.
- Signing must be a separate deliberate action from generating — never auto-sign
- Every field must be editable by the technician; a locked field is a field nobody can correct
- For the first 30 days of any rollout, log what gets corrected — the pattern shows exactly where the tool is weak
- Spot-audit signed reports monthly against the underlying notes
- Keep an audit trail of edits so a later question can be reconstructed
What regulators and surveyors care about
No major accreditation standard prohibits AI-assisted drafting. What they require is what they have always required: an accurate, complete, contemporaneous record attributable to a qualified person.
If the report is accurate, complete, and signed by the qualified technician who did the work, the drafting method is not the issue. If it is inaccurate, the drafting method will not be an excuse.
- Accurate — matches what was observed and performed
- Complete — device, complaint, findings, actions, parts, outcome, and next steps
- Contemporaneous — written at or near the time of the work
- Attributable — a named, qualified person signed it
Where the risk actually decreases
It is worth naming the other side of this. The most common documentation failure in field service is not AI hallucination — it is the four-word report written from memory at the end of a long day.
Structured AI-assisted documentation completed at the device, with numbers captured while the work is fresh, produces a materially better record than the status quo it replaces. The review step is what keeps that gain real.
