    Where to get medical equipment repair and support

    When a medical device goes down, there are only three places the repair can come from: your own biomed team, the original manufacturer, or an independent service organization. Each has a clear best-use case and a clear failure mode.

    This guide lays out what each option actually costs, how fast it moves, and the situations where choosing wrong creates a compliance or warranty problem.

    Option 1 — In-house biomed / HTM

    For any facility with an equipment fleet of meaningful size, an in-house team is the cheapest and fastest option for the majority of work. Response is measured in minutes, there is no per-call service fee, and the team accumulates fleet-specific knowledge no outside vendor has.

    Roughly half of all "equipment broken" calls resolve without a repair at all — user error, accessory failure, or a setting. In-house triage is the highest-leverage thing a facility can have.

    • Best for: PM, calibration, accessory and battery replacement, first-line diagnosis, user error triage
    • Response time: same-day, usually same-hour
    • Cost: fixed salary cost; marginal cost per repair is parts only
    • Limits: OEM parts access, proprietary service software, and specialized test equipment can gate what is possible in-house

    Option 2 — OEM service

    The manufacturer has the parts, the documentation, the service software, and the liability coverage. It is also the most expensive option by a wide margin, and response times depend on your contract tier.

    • Best for: in-warranty devices, life-support equipment, imaging, anything requiring proprietary calibration software or firmware
    • Response time: contract-dependent — from a few hours on a premium contract to several business days without one
    • Cost: highest; time-and-materials rates plus travel, or an annual service contract
    • Limits: cost, scheduling, and lock-in — but non-negotiable while a device is under warranty

    Option 3 — Third-party ISOs

    Independent service organizations sit between the two: substantially cheaper than OEM, broader capability than most in-house teams, and often faster to schedule. Quality varies more than either alternative, so vetting matters.

    • Best for: out-of-warranty equipment, board-level repair, depot repair, overflow capacity, older fleets the OEM no longer supports
    • Response time: typically 1-3 business days on site; depot repair adds shipping time
    • Cost: commonly well below OEM rates for equivalent work
    • Vet on: technician certifications, parts sourcing (new vs refurbished vs harvested), documentation quality, and whether they return calibration data with the device

    When the choice is made for you

    A few situations remove the decision entirely:

    1. Device is under warranty — OEM, or you void the warranty
    2. Device is under an active full-service contract — use the contract you are already paying for
    3. Repair requires manufacturer service keys or calibration software you cannot obtain — OEM or an ISO with licensed access
    4. Device is a recall or field-action subject — OEM, following the field action instructions exactly
    5. Life-support equipment where your team lacks model-specific training — OEM or a certified ISO

    What to have ready before you call

    Whichever route you take, the call goes faster and the quote is more accurate when you can supply the basics up front.

    That list is exactly what a good service report captures at the device. Teams with clean documentation get better quotes and faster turnarounds, because the vendor is not guessing.

    • Manufacturer, model, and serial number — photographed from the label, not remembered
    • Exact fault description with any error codes displayed
    • What has already been tried and ruled out
    • The device's recent service history
    • Location, clinical urgency, and whether a loaner is needed

    Keep the record no matter who does the work

    When an outside vendor performs the repair, their report belongs in your device history, not in an email folder. Surveyors ask for a complete maintenance history per asset — "the OEM has it" is not an acceptable answer.

    Log every external repair against the asset with the date, the vendor, the failure mode, the parts used, and the return-to-service confirmation. That history is also what tells you, twelve months from now, whether the device is worth keeping.
