When a BMET says "we need software", two very different categories of product get pitched: a CMMS (computerized maintenance management system) and a service report tool. They overlap, but they solve different problems.
Buying the wrong one wastes money. Buying both without thinking about how they connect creates duplicate work. This guide explains the difference in plain terms.
What a CMMS does
A CMMS is a system of record for assets and work. It tracks every device in the inventory, schedules PMs, generates work orders, tracks parts and labor cost, and produces compliance reports. In hospital HTM, common examples include Nuvolo, EQ2 HEMS, TMS, Connectiv, and AIMS.
- Asset inventory — every device, location, classification, AEM status
- Work order management — create, assign, track to completion
- PM scheduling — auto-generate work orders on a calendar
- Parts and labor tracking — for cost reporting and contract management
- Compliance reporting — PM completion rates by risk class
- Often integrates with ERP, procurement, and clinical systems
What a biomed service report tool does
A report tool focuses on the moment the work happens — at the device, with a tech, capturing what was done and producing a clean, defensible service record fast. It is the documentation layer, not the system of record.
- Scan a device label, prefill manufacturer / model / serial
- Capture findings and actions with structured prompts
- Generate a polished service report in seconds
- Export PDF / share with customer or upload to CMMS
- Build a per-device service history for techs in the field
Where they overlap
Both can store a service record. Both can attach photos. Both can produce a PDF. The difference is workflow: a CMMS is built for the back-office process (create work order → assign → close out); a report tool is built for the field workflow (arrive → diagnose → document → leave).
Most CMMS work-order screens were not designed for a phone, not designed for speed at the bedside, and not designed to produce a customer-ready service report without manual cleanup. Most report tools were not designed to manage 10,000 assets and schedule 50,000 PMs a year.
When you need each
- Solo biomed, small contract shop, mobile field service — a strong report tool may be all you need
- Hospital HTM department with 1,000+ assets — you need a CMMS as the system of record
- Hospital HTM that also wants techs to document fast at the bedside and produce customer-ready reports — you need both, and they need to talk to each other
- ISO field service team supporting multiple hospitals — report tool for documentation, CMMS or service-management platform for scheduling and dispatch
How to evaluate a report tool
- Time from arriving at the device to a complete report — should be under 5 minutes for a routine PM
- Works on a phone in a clinical environment with one hand
- Captures measured values, not just check marks
- Produces output that meets EC.02.04.03 documentation requirements without manual editing
- Exports cleanly — PDF for customers, structured data if you need to push into a CMMS
- Per-device service history accessible to the tech in the field
How TESSA fits
TESSA is a service report tool, not a CMMS. It is designed for the moment of work — scan, document, generate a clean report, move on. For solo techs and small shops, it is often the only tool needed. For larger HTM departments that already run a CMMS, TESSA is the documentation layer that makes the data going into the CMMS faster and more consistent.
